Who we are:

The Association of European Development Finance Institutions (EDFI) was established in 1992 to support and promote the work of bilateral European Development Finance Institutions (DFIs). EDFI represents 15 development banks and investment funds backed by European governments that invest in the private sector in emerging markets and developing economies to promote sustainable economic growth, job creation and improved lives.

With a combined portfolio of €59.9 billion and €11.9 billion in new investments in 2024, EDFI’s 15 member institutions share a vision of a world where the private sector offers people in low- and middle-income countries opportunities for decent work and improved lives, and where private investment flows align with the UN Sustainable Development Goals (SDGs) and the Paris Climate Agreement. Your mission:

The Executive Assistant provides high-level administrative and organisational support to the General Manager and contributes to the efficient functioning of the EDFI Secretariat. The role also involves regular coordination with EDFI members, partner institutions and other stakeholders.

Key Responsibilities:

Executive Support to the General Manager

  • Manage and coordinate the General Manager’s agenda, commitments and travel arrangements, and provide administrative and logistical support for Board, governance and other high-level meetings;
    • Anticipate the General Manager’s needs and ensure appropriate preparation for upcoming commitments, meetings and responsibilities.
    • Maintain Board and Annual General Meeting (AGM) calendars, governance deadlines, contact lists, and distribution lists.

Office Management

  • Provide general administrative support to the Secretariat team, including coordinating travel arrangements, preparing correspondence, meeting notes and presentations, and maintaining contact records;
  • Serve as a point of contact for office suppliers, service providers, building management, and operational vendors;
    • Support workplace logistics, including office supplies, meeting facilities, visitor coordination, and general office administration;
    • Manage workspace allocations;
    • Support the organization of internal events, staff meetings, and retreats.

Administrative Support

  • Provide HR administration support, including preparation of monthly payroll information, recruitment and onboarding, and maintenance of personnel records;
    • Support accounts payable and basic financial administration, including preparing invoices for processing by outsourced accounting providers, preparing supplier payments and maintaining relevant records;
    • Prepare and process expense reports and reimbursement requests;
    • File and retrieve corporate records, documents, and reports.

Required skills and experience:

  • 3–5 years of relevant experience in an executive assistant, administrative or office management role.
  • Excellent organisational and prioritisation skills, with the ability to manage multiple deadlines.
  • Strong command of Microsoft 365 applications.
  • Excellent written and spoken English; knowledge of another European language is an asset.
  • High level of discretion and ability to handle confidential information.
  • Proactive, service-oriented and solution-focused approach.
  • Ability to work both independently and collaboratively in an international environment.
